How Do You Coordinate First Night Decoration With the Wedding Timeline?
First night coordination is the most time-sensitive decoration brief we manage — and we treat the logistics as seriously as the decoration itself. The couple is at their wedding reception while we are setting up, which means we are working within a window defined by the reception's expected end time and the couple's travel time to the hotel. When you book, we collect this information from you and coordinate directly with the hotel to secure room access during the reception window. Our team is in, set up, and completely out of the room before the couple arrives. We have done this many times and understand exactly what can go wrong if the timing is not managed properly.
How Long Does Setup Take?
Both first night and Valentine's setups typically take between 1 and 2 hours at the venue. First-night setups are more time-pressured because the wedding reception timeline sets the setup window — we factor this into the logistics plan when you book. Valentine's Day setups generally have more flexibility in timing, though coordination is still required if the decoration is a surprise for a partner who will be returning to the room.

Valentine's is our fastest-filling date of the year — slots are typically fully booked well before the week of 14 February arrives. Do not leave a Valentine's booking to the last few days.
